Overview
This skill triages, categorizes, and drafts responses to emails to reduce inbox friction and speed decision-making. It sorts messages by urgency, flags action items and signals, and produces concise, context-aware reply drafts when needed. The output is structured for quick copy-paste into an email client or task manager.
How this skill works
For each email the skill assigns exactly one category (Urgent Action, Action Required, FYI / Read, Delegate, Archive) and emits a standardized summary line with sender, subject, one-sentence summary, the next specific action, and whether a draft is included. It extracts discrete action items with who, what, and when, flags smart signals (repeated follow-ups, CC escalation, deadlines, sentiment shifts, hidden meeting requests), and batches multiple emails by grouping categories and surfacing patterns. Drafts are short, direct, tone-mirroring, and end with a clear next step.
When to use it
- Clearing a backlog: triage many emails quickly and get a prioritized action list
- Handling time-sensitive threads: highlight deadlines and generate reply drafts
- Delegating work: identify items to forward with context and action checklists
- Preparing for meetings: extract action items and outstanding questions beforehand
- Managing follow-ups: spot repeated requests and CC escalations that need attention
Best practices
- Provide full thread context for focused triage of a single email
- Ask for drafts only for Urgent Action or Action Required items to avoid noise
- Link a domain context pack (legal, healthcare, finance) when subject matter is specialized
- Use the extracted checklist directly in your task manager to close loops
- Batch-process similar senders to reveal patterns worth addressing with a single response
Example use cases
- Inbox triage every morning: get a short prioritized list and reply drafts for urgent items
- Weekly delegation: identify messages to forward and produce context lines for teammates
- Client escalation: surface CCs and deadline mentions, plus a calm, direct reply draft
- Event logistics: pull meeting requests hidden in email bodies and extract action owners
- Audit cleanup: archive newsletters and receipts en masse while flagging the few required actions
FAQ
No. Drafts are generated for Urgent Action and Action Required categories, direct requests/questions, or when you explicitly ask for a draft.
How are action items delivered?
Action items are output as a checklist listing what needs to be done, who should do it, and any deadline mentioned so you can copy them into your task manager.
